Role Function
To provide part-time administrative support to the Account Manager and Team, ensuring a high-level service is provided within the accounting function.

This role is part-time from 15-18 hours per week

Salary: £12.82 per hour


Person Profile
A motivated individual who can work within a team or alone. With a high-level understanding of Excel, the person must be comfortable working with numbers and attention to detail. They must be a skilled communicator, ensuring clients and internal queries are managed. They must have a flexible approach and be efficient meeting deadlines.
Job Specific Functions
•Generate invoices, proformas and credit notes on Xero.
•Generate application for payments and portal submissions.
•Data entry onto Excel worksheet invoice/application values.
•Credit checks on new customers provided by Sales Department.
•Set up new customers on Xero and update Collabit with Accounting information.
•Set credit limits based on online credit check.
•Reconcile Bank transactions on Xero
•Manage filing of remittances.
•Liaise with Sales Team and customers re queries and/or disputes and/or missing information
•Chase debts over credit terms by telephone and/or email and letter.
•Agree actions required by others and time deadlines to ensure that issues affecting payment are dealt with in a timely manner.
•Produce monthly statements
•Fulfil all customer requests for copy invoices, back-up paperwork or other documentation.
•Pay by phone parking for engineers
•Take Visa payments.
•Purchase Ledger Cover
•Reconcile Xero invoicing/applications with worksheet at month end when necessary.

Your role as a Legionella Monitoring Technician will involve –

  • Carry out planned preventative maintenance tasks for the adequate control of Legionella bacteria;
  • Temperature monitoring of water services (plant and distribution)
  • Shower clean/descaling, water tank cleaning and disinfection
  • Water services plant inspection (i.e. cold water storage tanks, calorifiers etc.)
  • Thermostatic mixer valve (TMV) inspection and servicing
  • Basic water system remedials, removing dead legs and water tanks
  • Water sampling for microbiological analysis
  • Strong technical knowledge on hot and cold domestic water systems
  • Ability to look beyond the scope of works to identify potential non-conformances.
  • Carry out tasks in accordance with company method statements and procedures
  • Liaising with client/site personnel with regards to work progress/issues
  • Ensuring any progress issues or problems on site are communicated to the office immediately
  • Representing the company and promoting a professional image in the market place
  • Liaising with the sales team on important site issues and remedial works required

As Duct Cleaning experts, Swiftclean provides services in all aspects of ventilation and grease hygiene including Fire Damper Testing. Installation and remedial works, to the public sector, utility companies, industrial, commercial, and retail clients. Swiftclean is established with rigorous growth plans; we are looking for talented employees who want to join our knowledgeable team.

Responsibilities

To ensure that all Environmental Hygiene Testing and Remedial Contracts assigned are completed to the required standard and specification, and to the satisfaction of the customer.

The main areas of work being:

  1. Fire Damper Testing
  2. General Ventilation remedial works and cleaning
  3. Fire Damper Fitting and remedial works
  4. Ductwork Fitting and amendments, for example installing fire stopping etc.

Liaise with customers, or their designated representatives, and agree on the works and priority of works to be completed. To follow the schedule of works program if available.

Job Specific Functions

  • Be responsible for controlling the workload of the compliance Team by coordinating and setting job priorities, ensuring that sufficient manpower is available to carry out the work required and ensuring that the team are informed of the duties required, and that they have relevant and sufficient equipment.  They should ensure that all procedures with regard to the supervision of a contract are adhered to.
  • To ensure that work is carried out with due regard to customers’, Statutory and Swiftclean’s Health and Safety (H&S) Regulations, both on site and at the depot.
  • To ensure that all general and specialised equipment is maintained in a serviceable condition and replace where applicable.
  • To supervise the Compliance Operatives to ensure that the work is carried out according to the required standard/specification, in accordance with training received and skills acquired.
  • To ensure jobs are completed within the allotted costs.
  • To represent the Company on site and always promote a professional image.
  • In conjunction with the Regional Supervisor, assist in ‘on the job’ training of new operatives and temporary labour (where used).
  • The Lead Engineer is responsible for dealing with urgent problems, to discuss ‘on site’ situations, advise progress, and set daily priorities..
